Greeting from Canada,

My husband and I are setting up a home based studio. We are just about ready to go, and have our first client scheduled this week. My qeustion is, how do you handle the administration side of things, like booking, paper work and accounting. Are there any good programs for studios that anyone can recommend. How about business plans, we have a rough one but I want to spruce it up and make it more professional. Any suggestions would be helpful.

There are many places where you can find business plans online. Try the sba site for a good one.
There are many commecially available programs for recording studio management.
Try Studio Suite or Agogee's Session Tools.
There are trial downloads online for both.

Redundancy of paper work provides checks and balances, accurate record keeping and provides clients with the "illusion of trust" that separates the "pro" studios from the hobbyist.

Every session should have a written confirmation of the deal structure, signed by the client and kept on file.

Every session should have a Work Order filled out by the staff and signed by the client at the end of the session. A system that generates numbered W.O.'s is preferred and prevents lost W.O.'s and possible underbilling of a session.

From those W.O's, an invoice is generated and the signed W.O's attached to it.

A calendar program for scheduling, an equipment inventory file, client's tape and asset file. Tape release forms are all needed to make the ship run steady and smooth.

There are other products available if you do some reaseach. When I was managing facilities I made up my own, with a little borrowed from my many stops on the way. If you're coming from never having seen a session W.O. or invoice download the mention products and give them a try.

However; I do wish I had known about Studio Suite before I spent the hundreds of hours developing my own.
